Case study: legalising a Thai birth certificate for use abroad

A Thai birth certificate used abroad must first be re-issued as a certified copy by the district registrar, then translated and the translation certified, then legalised by the Department of Consular Affairs. Where the destination still requires it, its embassy in Bangkok adds a final certification. A standard file takes roughly 3–7 working days, excluding embassy queues.

Who this is for: Thai families enrolling a child in school overseas, applicants for dependent or family visas, and parents registering a Thai-born child with a foreign civil registry.

Validity usually demanded abroadCommonly 3–6 months from re-issue
Typical duration3–7 working days, excluding embassy queues

Documents you need

  • Freshly re-issued certified copy of the birth certificate from the district office
  • Passport of the child, and passports or ID cards of both parents
  • House registration (thabian baan) showing the child's entry
  • Marriage certificate or name-change records where surnames differ
  • A written note of the exact name spellings used in the destination country's records

Step-by-step process

  1. 1. Re-issue the certified copy

Request a fresh certified copy at the district office that holds the record; scans and old photocopies are refused later in the chain.

Handled by: District office (amphoe/khet) · Typical time: Same day at the counter

  2. 2. Translate and certify the translation

The document is translated with names matched letter-for-letter to the passport, and the translation is certified for consular submission.

Handled by: Translation team · Typical time: 1–2 working days

  3. 3. Lodge with the Department of Consular Affairs

Both the Thai original and the certified translation are submitted for legalisation at the standard or express counter.

Handled by: Department of Consular Affairs · Typical time: 1–3 working days

  4. 4. Destination embassy certification

Where the receiving country requires a further layer, the legalised set is lodged with its embassy or consulate in Thailand.

Handled by: Destination embassy · Typical time: 2–10 working days

  5. 5. Delivery and record keeping

The completed set is returned with scanned copies retained so a re-issue can be produced quickly if the destination asks for a fresher document.

Handled by: Our team · Typical time: 1–3 days

Common reasons files are rejected

  • Submitting a photocopy or an old certified copy instead of a freshly re-issued one.
  • Name spellings that differ between the birth certificate translation and the child's passport.
  • Removing staples or rebinding the file, which breaks the registrar's seal across pages.
  • Letting the document age past the destination's three-to-six-month window while waiting for an embassy appointment.
  • Translating the parents' names in a form the destination register has never seen.

Frequently asked questions

Does the original birth certificate have to be surrendered?

No. The chain runs on a certified copy re-issued by the district registrar, which carries the registrar's seal and signature. Keep the family original at home; if a destination insists on seeing it, we advise on presenting it separately rather than sending it abroad.

Can I translate the certificate myself?

No. The Department of Consular Affairs only accepts translations whose certification it recognises, and the translation must be lodged together with the Thai document. A self-made translation is the most common reason a first-time file is rejected at the counter.

Which name spelling should be used?

Always the passport spelling, letter for letter, including middle names and hyphenation. If the destination register already holds a different spelling, tell us in advance so we can add a translator's note explaining that both refer to the same person.

How fresh does the certified copy have to be?

Most destinations expect a copy issued within three to six months, and some visa offices are stricter. Because a re-issue is quick at the district office, we normally start the chain with a new copy rather than risk a rejection at the end.

Can the whole process be done without me attending?

Yes for the translation, consular and embassy stages, provided the certified copy and identity documents are supplied. Only the district-office re-issue may need a family member or an authorised representative to attend in person.

What happens if the destination rejects the file?

We ask for the written reason, identify which layer failed — usually spelling, document age or a missing embassy certification — and re-run just that stage. Errors caused by our work are corrected without an additional service charge.
