Why agency-specific format matters
NAATI (National Accreditation Authority for Translators and Interpreters) is the standards body in Australia — but NAATI itself does NOT prescribe what each Australian agency must accept. Each agency (Department of Home Affairs, AHPRA, VETASSESS, Engineers Australia, ACS, TRA, RACGP) writes its own document-acceptance policy.
In practice this means a translation that passes for a Subclass 189 visa application may be rejected by AHPRA, and a translation accepted by Engineers Australia may need re-formatting for VETASSESS. The matrix below is built from NYC's 2025-2026 casework of 800+ Australia-bound clients and the published policies of each agency.
1. Department of Home Affairs (DHA) — all visa subclasses
Reference: Department of Home Affairs, 'Document checklist' for each subclass on immi.homeaffairs.gov.au. The accepted standard is 'NAATI Certified Translator' (formerly 'Professional Level').

2. AHPRA — registered health professionals
Reference: Australian Health Practitioner Regulation Agency (ahpra.gov.au), 'Evidence of identity and English language requirements'. Covers 16 National Boards: Medical, Nursing & Midwifery, Pharmacy, Dental, Physiotherapy, Occupational Therapy, Psychology, Optometry, etc.
- Documents required: Medical Council Certificate, Specialist Certificate, Internship Completion, Transcript, CV with detailed clinical hours
- Format: NAATI Certified Translation + ORIGINAL document notarised by Thai notary public + 'Statement of Identity' form signed in front of Justice of the Peace or Notary
- Critical: AHPRA requires the translation to be of the ORIGINAL document, not a copy. Translating a notarised copy is rejected at desk audit.
- Apostille: Recommended for the original document before the notary signs — speeds up AHPRA's verification step

3. VETASSESS — non-licensed professional skills assessment
Reference: VETASSESS (vetassess.com.au), 'Skills Assessment for Professional Occupations'. Used for 360+ occupations including marketing, finance, HR, and accounting.
- Documents required: Qualification Certificate, Transcript, Employment Reference Letters (1+ year per role), Detailed Position Description signed by employer
- Format: NAATI Certified Translation + colour scan of original (high-resolution PDF) — VETASSESS accepts digital submission via online portal
- Critical wording: Employment Reference Letter MUST specify hours per week, daily duties, and salary — generic 'has worked at our company' letters are rejected and assessment re-issued at additional fee
- Apostille: Required for documents being verified by VETASSESS Independent Verification Service (IVS) — applicants from certain regions are automatically flagged for IVS

4. Engineers Australia — Migration Skills Assessment (MSA)
Reference: Engineers Australia (engineersaustralia.org.au), 'MSA Booklet 2026'. Covers Professional Engineer, Engineering Technologist, Engineering Associate.
- Documents required: Engineering Degree + Transcript + 3 Career Episodes (CDR pathway) OR Washington/Sydney/Dublin Accord recognition
- Format: NAATI Certified Translation with EA-specific covering statement (EA template provided in MSA Booklet Appendix B)
- Career Episodes: written in English by applicant — NOT translated — but supporting evidence (project drawings, contracts) needs NAATI translation
- Apostille: Optional but recommended for degree certificate to support Stage 1 Competency Verification

5. ACS — Australian Computer Society for IT occupations
Reference: Australian Computer Society (acs.org.au), 'Skills Assessment Guidelines 2026'.
- Documents required: Bachelor of IT/Computer Science Degree, Transcript with subject names, Employment References with detailed IT-related duties
- Format: NAATI Certified Translation; ACS specifically accepts translations from NAATI Certified Translators with CPN displayed on every page
- Critical: Subject names in Transcript translation MUST be precise — ACS maps each subject to an ICT ANZSCO competency. Generic translations like 'Computer Subject 1' cause downgraded assessment

6. TRA — Trades Recognition Australia
Reference: Trades Recognition Australia (tradesrecognitionaustralia.gov.au) for chef, mechanic, electrician, plumber pathways.
- Documents required: Vocational Qualification, Apprenticeship Records, Employment Evidence with photographs of work
- Format: NAATI Certified Translation + Statement of Service signed by employer (with company stamp/seal)
- Pathway-specific: Job Ready Program (JRP) requires Australian work placement — translation is for entry-eligibility only
- Apostille: Recommended for vocational qualification

7. RACGP / RACP — medical specialist colleges
Reference: Royal Australian College of General Practitioners (racgp.org.au) and Royal Australasian College of Physicians (racp.edu.au). Used in parallel with AHPRA registration.
- Documents: Specialist Certificate, Internship Logbook, Recommendation Letters from supervising consultants
- Format: NAATI Certified + Notarised Original + College-specific Verification Form signed by issuing institution
- Critical: Recommendation letters must be on institution letterhead, dated within 12 months, and include supervising doctor's registration number — translations preserve all original formatting elements
- Apostille: Required for the specialist certificate

All seven agencies above accept NAATI translations produced remotely. The CPN on the translator's stamp is the verifying element — the translator's physical location does not matter, as confirmed in NAATI's 'Code of Ethics for Practitioners' and individual agency policies.

Common rejection causes (NYC 2025-2026 casework)
- Translator's CPN missing or expired (NAATI CPN renews every 3 years)
- Source-document scan quality below 300 dpi — agency cannot verify the original is genuine
- Translation submitted with the wrong agency-specific covering statement (e.g. AHPRA letter used for VETASSESS)
- Transliteration of Thai names inconsistent across multiple documents (e.g. 'Somchai' vs 'Somchaii')
- Date format mismatch — Thai Buddhist Era (2568) not converted to Gregorian (2025) clearly
- Translating a notarised copy when the agency requires translation of the original (especially AHPRA)
